Video Meeting Etiquettes
March 2021 marks the 1 year anniversary of the implementation of social distancing measures in Indonesia. These social distancing measures have forced a significant portion of the office workforce to work from home. Video meetings, or more colloquially known as Zoom meetings, have inevitably become an integral part of our professional and personal lives and we are betting that Zoom meetings will be here to say!
Here are some basic video meeting etiquettes to help ensure a smooth and engaging meeting:
Introduce Everyone in the Meeting
Just like a real life meeting, it is important to introduce every meeting attendees. If it is the first of many meetings, it might even be helpful to do a mini icebreaker activity to help your team members warm up to each other. For video meetings to be effective, it is extra important to maintain the “human touch” to help keep all attendees engaged.
Get Out of your Pajamas!
You might be at home, but don’t forget that once you turn on the video call, you are you are instantaneously transported to a professional setting. Wear the part, look the part, and act the part! Dress for success!
Use Appropriate Background
This is especially important if you are doing a high stakes client meeting. Just like in real life, we don’t typically invite our clients or vendors to our living room. You will exude a greater air of professionalism if you can use a virtual background to block out your cluttered background. Better yet, when meeting clients online use a background with your company logo!
Eliminate Distractions
Before meetings, make sure find a quiet corner in your home and notify your family members that you will be in a meeting. The last thing you want to happen is having your mom barging in to the room when you are in the middle of an important client meeting!
Test Your Video & Audio
If possible, log on to the meeting early to test out our video and audio settings. Do not wait until 30 seconds before your meeting to do this! Not only will you waste all of the meeting attendees’ time, it can also get annoying to other meeting attendees. If you are presenting, be sure to try out the screen share settings to make sure everything goes well!
